Managing Projects

A Project is a core component of a Workspace.

Each Project represents a specific content initiative, such as a blog post, video, or whitepaper, contributing to the Workspace’s objectives.

Projects allow you to organize and track every detail, from high-level goals to individual tasks, ensuring that your content creation process remains aligned with your strategy.

Accessing Projects

Projects are easily accessible from the various views in a Workspace; the Board View organizes Projects in columns that correspond to the Stages in your Workflow. Table View is exactly what it sounds like - a table of all the Projects in a Workspace, and Calendar View shows you all your projects by publish date.

Project Overview Elements

Click on a Project card or title to open the Project details in a side peek.

The Project Overview page provides key details and management options for each Project:

Project Title & Description

At the top, you’ll find the title of the Project and a brief description. Use this space to summarize the Project’s name and other key information.

Progress Bar

A visual progress bar below the title shows how far along the Project is, helping your team quickly gauge its status at a glance.

Assigned Team Member

Displays an avatar of the team member currently assigned to the Project. Select a different team member to reassign the project as necessary.

Priority

Indicates the priority (e.g., High) to signal the urgency of the Project within the Workspace.

Workflow Stage

Shows the current stage of the Project (e.g., Design, Review, Publish). This aligns with the predefined workflow stages in the Workspace and helps track the Project’s lifecycle.

Start Date and Due Date

Displays the Project’s start and end dates. Click on these dates to adjust the timeline as needed.

Customizing Project Details

Each Project can be tailored to better fit its specific content objectives:

Set Content Pillar

Click on Set content pillar to categorize the Project according to high-level topics in your content strategy. Choose among existing (already added Content Pillars) or create a new content pillar.

Content type

Enrich the project by setting the specific Content Type this Project will produce (e.g., Blog Post, Whitepaper, Industry Report, Webinar or Email). If your specific content type isn't on the list, you can easily create a new one by clicking "+ Add" at the bottom of the list.

Funnel stage

Align the Project with overarching strategic goals by specifying the Funnel Stage this Content project addresses. Use the built-in Funnel stage model (TOFU, MOFU, BOFU) or define your own.

Labels

Use Labels to tag the Project with relevant keywords (e.g., “best practices,” “content operations,” “strategy”). These tags make it easier to filter and organize Projects within the Workspace and in the Library and enable better search, reuse, and repurposing.

To add a label, select one from the list or simply type your new label and it will be assigned a recognizable color and added to the list.

URL Field

Add or update the URL field to link directly to the Project’s published content or relevant external resources.

Note: you also have the option to add URLs as an Asset in this project under Project > Assets.
